This feature is currently in limited release.
Note: This feature is only available with a license of Qwickly Attendance Pro.
Administrators have the ability to run Check In across multiple courses from the same interface. The admins will be in full control of these Check In sessions, and will be able to begin and end the check in session for the courses.
In order to use this feature, there are two requirements:
- The admin needs to have an account within the Qwickly Dashboard and will need to have either a ClientAdmin, InstanceAdmin, or AttendanceProAdmin role (more about Qwickly Dashboard roles here).
- A Course Grouping with up to 8 courses (more about bulk creating Course Groupings here).
Using Multi Course Check In
Admins can go to Qwickly Dashboard > Manage Attendance > Manage Multi Course Check In
The admin will be prompted to lookup a Course Group (with up to 8 Courses).
When a group is selected and lookup is clicked, Qwickly Attendance will display the list of courses belonging to the selected group. The courses that are ready to start taking check in will have a green "Ready" label. Some courses may have active check ins running, in which case there will be a red label "Check In is running for this course".
Admins will only be able to run Multi Course Check In for courses that are in a "Ready" state.
Starting Multi Course Check In
Please note that only ONE instance of Multi Course Check In can run at once.
When the admin has selected the courses they want to start check in for, they also have the option to enable a common PIN for all these courses. In the example screenshot below, the admin has selected 2 courses for Check In and has enabled PIN.
When the admin is ready, they can click on "Start Check In".
The Courses will start their Check In sessions one at a time and statuses will be displayed one at a time at the bottom of the page. The user should not navigate away from the page when this process is ongoing. Once all courses have started Check in successfully, then the page will auto-refresh and show the admin the active Multi Course Check In Page.
The Active Multi Course Check In page tells the admin:
- Which course grouping the session is running for
- Which admin started it and at what time
- The common PIN (if PIN is enabled)
- The list of courses that the Multi Course Check In is running across
Furthermore, the admin has the option to click on the name of a course to see which users have checked in so far.
Ending Multi Course Check In
When the admin is ready to end Multi Course Check In, they can click on the "End Check In" button. The admin will be prompted to confirm that they are ending check in.
Once confirmed, the Courses will begin closing their Check In sessions one at a time and statuses will be displayed one at a time at the bottom of the page. The user should not navigate away from the page when this process is ongoing. Once all courses have closed Check in successfully, then it is safe for the user to navigate away from the page.
The starting and ending of Multi Course Check In sessions are also logged within Instance Logs.
Attendance data can be found by going to the LMS > opening Qwickly Attendance in the desired course > navigating to "Records" screen
What Does the Instructor See
If Qwickly Attendance is opened from the course while an active Multi Course Check In session is running, the instructor will see the following screen telling them that there is an active session. They will also be unable to close this check in session.
Instructors will also be unable to delete an open Multi Course Check In session from the "Records" page. After the Multi Course Check In session has ended, they will have the option to delete the session if they choose to do so.
