Note: If you are utilizing Location Manager to implement the Location Confirmation feature, updated documentation is available at https://qwickly.zendesk.com/hc/en-us/articles/43021483900941-Location-Confirmation.
About Location Confirmation
Location confirmation confirms the student's device is at or near the location of the course, as defined by the Qwickly administrator. Students are notified of the feature if enabled and must allow location services. The app will send the location of the course to the student's device and the device will confirm "in-zone", "out-of-zone", or "unable to determine". If they do not allow location services, the app will always return an "unable to determine" location. Qwickly never receives the student's location, Qwickly sends the location of the course to the student's device and the device sends back a confirmation to Qwickly.
Please note:
- A license of Qwickly Attendance Plus or Qwickly Attendance Pro is required for this feature.
- Students are required to use the Qwickly Attendance App for this feature to work.
- At this time, we only allow one location per course.
Note: Location Confirmation is not currently compatible with the Large Course Enrollment (Check-In Only) option or the Concurrent Check-In feature.
Administrators
Enable Location Confirmation/Context in Your Instance
- Under Modes, Enable Location Confirmation, select either Required (if a location exists for the classroom) or Optional (not recommended).
Upload course GPS (latitude and longitude) Locations under Tools > Location Confirmation
Location Confirmation can be Required or Optional but must be ON to have the confirmation processed
Upload Locations for Your Courses
Upload Locations under Tools > Location Confirmation
To update a course's location, upload a .csv or .txt file including the Course LMS ID (Course Code, or Course SIS ID), room name, latitude, longitude, and allowed radius, in that order (in meters, minimum is determined on several factors including if Wi-Fi is enabled in the area, number of buildings, etc.).
Instructors
Enable Location Confirmation in the Course (if optional) and view your course location
Administrators must enable the feature and upload locations corresponding to courses. If Location Confirmation is enabled, locations will also appear in Settings in the Course menu.
Location Displayed in the Course
Instructors can view the locations for their courses in the LMS > Course > Qwickly Attendance > Settings.
If the feature is enabled, instructors will see this in their check-in screens (dependent on if Location Confirmation is required).
Instructor Settings Screen:
Note: Location Confirmation must be enabled, some important considerations are noted:
- If a student chooses "REMOTE" in Location Context, then Location Confirmation will be BYPASSED
- If a student chooses "IN-PERSON" in Location Context, then Location Confirmation will commence and the information will be placed in the Records screen.
Instructor Records Screen Example:
Important notes for the instructor:
- The Qwickly Attendance App is a student application.
- To take advantage of the mobile app check-in feature and location confirmation, instructors use Check In Mode and students MUST use the app to check in.
- If instructors choose to use a QR code at check-in, the QR code can only be scanned with the Qwickly Attendance App. Students will not be able to scan the code and check-in from a mobile browser.
- Qwickly NEVER receives the student's location, Qwickly sends the location of the course TO the student's device and the device sends back a notification to Qwickly.
- When Location Confirmation is enabled and properly set up, students will be able to check in to class regardless of their location (i.e. if a student's device is deemed "out of zone", they will still be marked present for class if they check in- at this time, Location Confirmation does not prevent students from checking in and does not mark students absent automatically)
Students
Student Experience
Students must use the app if the instructor has enabled the QR code or for Location Confirmation. Students will see a GPS icon in the check-in on the app if the instructor/administrator has enabled location confirmation.
Things to Consider
- QR check-in and Location Confirmation requires the app, other check-in modes can be completed via the web (phone or other device) or a computer.
- Students must allow location services in the app. They are notified of the location confirmation feature and must enable location services. If they do not enable location services, they can still check-in, but the confirmation will be noted as "unable to determine."
- A user's geolocation service from their mobile device may sometimes be inaccurate due to several reasons (poor connectivity, issues with geolocation services, etc.) For this reason, Qwickly will NOT automatically set students with an undetermined location as Absent
About the Qwickly Attendance Mobile App
The Qwickly Attendance Mobile App is available for iOS and Android and currently integrates with Canvas, D2L, and Blackboard. The app allows students to check in for courses that use check-in mode, and it allows them to view their attendance records in a given course. The app also enables Location Confirmation, more details are listed below.
The app mirrors the web-based experience, but also includes additional features only available on the app:
- QR Code scanning - Enables QR codes that must be scanned by the app
- Location Confirmation - Enables location confirmation where the student's device provides information back to Qwickly that they are in the location assigned by the administrator for the course (see below for more information).
- Qwickly NEVER receives the student's location, Qwickly sends the location of the course TO the student's device and the device sends back a notification to Qwickly.
