Note: This feature is only available with a license of Qwickly Attendance Pro
Qwickly Attendance Pro allows administrators to enable Time Tracking settings which allows an institution to track how much time a student has spent or missed in a course. Admins can assign a Session Time Value for each course, which indicates the amount of time each course session is worth.
Admins can then assign a Time percentage value to an attendance status. This time percentage dictates how much time credit a student receives in a course. This allows teachers, admins or students to see how much time a user has attended or missed in a course based on how many sessions they have appeared in and what statuses they've received.
Users' Time Data will be recalculated each time attendance is taken in a course.
Enabling Time Tracking at the Administrative Level
- Go to Manage Attendance > Settings > Attendance > Allow Time Tracking
- Set the desired time display (in hours or in minutes)
Once enabled, Admins have to set Time percentages for their attendance statuses and set session time values for the courses.
First, Admins must set a Time percentage value for their Attendance Statuses
Setting a Time Percentage for Attendance Statuses
- Go to Manage Attendance > Settings > Attendance
- In the "Default System Statuses" table, a new "Time" column will appear once "Allow Time Tracking" has been enabled
- Enter the desired Time Percent value for each status
- The default Present, Absent and Excused statuses will have default time percent values which cannot be changed (Present = 100%, Absent = 0%, Excused = N/A)
- The Time Percent will dictate how much time credit a user receives in a course. For example, if a course has a Session Time Value of 100 minutes, and a particular Attendance status has a time percent value of 80, if a user receives this Attendance status for a session, they will be credited as having attended 80 minutes of that session. The user's time tracking data will accumulate as instructors continue taking attendance in a course.
NOTE: if the setting "Permissions > Allow instructors to customize statuses" has been enabled, and a course has a Session Time Value, instructors who have custom attendance statuses in these courses will have to configure a Time percent value for each of their custom attendance statuses.
Next, there are two ways to set Session Time Values for a course: either bulk updating courses' session time values by file upload, or individually updating them by going to Manage Courses.
Bulk updating Courses' Session Time Values by File Upload
- Go to Manage Attendance > Tools > Time Tracking
- To assign a session time value to a course, upload a .csv file including the Course LMS ID (or Course Code), time value (in minutes), in that order
- Make sure the data file is in the format Course LMS ID (or Course Code), time value (in minutes).
- The file does not accept duplicate rows for courses. You can only have one entry per course.
- Session Time Values must be entered in minutes and must be a whole number.
Updating a Course's Session Time Value through Manage Courses
- Go to Manage Attendance > Manage > Courses
- Look up desired course then press edit (three vertical dots in the right-most column)
- In the Edit Course Menu, enter the desired value to "Time Tracking - Session Time Value" input field and press save
- Session Time Values must be entered in minutes and must be a whole number.
Viewing Time Tracking settings as an instructor
If a course has a Session Time Value configured, the instructor can see the session time value for that course in the course settings > Attendance statuses tab > Time Tracking
They can also see student's Time Tracking Data in the Course Report Page and the Records page.

Viewing Time Tracking Data as a Student
If a course uses session time value, the student can see the amount of minutes they have in Qwickly Attendance's student view page.
- Go to Manage Attendance > Reporting > Course Reporting
- Select "All Courses", "Course Search" or "Course Groups"
- In the Course Report lookup menu, select "Display > Time Tracking Report" for your desired semester
