Note: This feature is only available with a license of Qwickly Attendance Pro.
Before creating an Enterprise Seating Chart, you must first create a Room using Location Manager.
Once a Room has been created, administrators can create an Enterprise Seating Chart for the specific Room. When an Enterprise Seating Chart has been created for a Room and the Room has been associated with a course, the Enterprise Seating Chart can then be utilized for attendance taking by an instructor using Seating Chart Mode.
NFC Tags can be associated with chairs in an Enterprise Seating Chart. NFC Tags must first be associated with the Room before they can be associated with an Enterprise Seating Chart. Enterprise Seating Charts with NFC Tags associated can be used in tandem with NFC Check-In Mode by instructors.
Note: Seating Chart Mode must be enabled at the administrative level before it can be utilized by an instructor. If you'd like an instructor to utilize an Enterprise Seating Chart with NFC Tags associated, you must enable NFC Tag Confirmation at the administrative level. You can enable Seating Chart Mode and NFC Tag Confirmation in your Qwickly Attendance Administrative Settings under the 'Modes' tab.

To Access a Room within Location Manager:
- Log in at https://www.qwickly.tools/
- Select 'Manage Attendance' on the appropriate instance panel

Select 'Manage' from the left-hand navigation and then navigate to 'Locations'

Click 'View Campus' for the applicable campus, then click 'View Building' for the applicable building.

Select the Room you'd like to create an Enterprise Seating Chart for by clicking 'View Room'

Creating an Enterprise Seating Chart for a Room without NFC Tags Associated:
Once you have created the Room in Location Manager and accessed the Room in Location Manager:
- Select the 'Seating Chart Options'
- Select a grid size for your enterprise Seating Chart
- Click 'Create Seating Chart' to finalize grid size selection
- Define the chairs in your Seating Chart:

Add a Chair: Click a grid square to add the chair to your Seating Chart.
- Remove a Chair: Click an existing chair to remove it, or utilize the 'X' icon in the upper right corner of the box
Note: When you click into a grey box in the Seating Chart grid, a chair icon will appear. This icon indicates that this chair/seat will be shown within your seating chart. Any grey box without a chair icon will not appear within your finalized seating chart. This allows you to create blank rows/aisles as needed to reflect the specific layout of the room.

- Click 'Submit' to finalize your Seating Chart
Reminder: You must associate the Room with a Course before an instructor can utilize the Enterprise Seating Chart.
Creating an Enterprise Seating Chart for a Room with NFC Tags Associated
Once you have created the Room in Location Manager, associated NFC Tags with the Room, and accessed the Room in Location Manager:
- Select 'Seating Chart Options'
- Select a grid size for your enterprise Seating Chart
- Click 'Create Seating Chart' to finalize grid size selection
- To the left of your Seating Chart grid, you'll see a list of NFC tag IDs (serial number values) for the NFC Tags that have been associated with the Room
- Define the chairs in your Seating Chart:
- Add a Chair: Click on a NFC tag ID and then click into a grey box in the grid to add a chair with this NFC tag associated to the Seating Chart. Repeat this step until you have assigned all NFC tag IDs to a chair within your Seating Chart.
- Remove a Chair: Click an existing chair twice to remove it, or click the 'X' icon in the upper right corner of the box twice.
Note: If you click into a grey box within the Seating Chart grid, a chair icon will appear. This icon indicates that this chair/seat will be shown within your Seating Chart, however, an NFC tag will not be associated with the chair until you click on an NFC tag ID and then click on the grey box with the chair icon within the grid. A box with a chair icon indicates this chair/seat will be shown in your Seating Chart, but will not have an NFC tag associated with it. Any grey box without a chair icon will not appear within your finalized Seating Chart. This allows you to create blank rows/aisles as needed to reflect the specific layout of the room.
- Add a Chair: Click on a NFC tag ID and then click into a grey box in the grid to add a chair with this NFC tag associated to the Seating Chart. Repeat this step until you have assigned all NFC tag IDs to a chair within your Seating Chart.
- Click 'Submit' to finalize your Seating Chart
Reminder: You must associate the Room with a Course before an instructor can utilize the Enterprise Seating Chart.
Edit an Existing Enterprise Seating Chart
- Select 'Seating Chart Options'
- Click 'View Seating Chart'
- Make any necessary changes/edits to your Seating Chart
- Click 'Submit'
Delete an Existing Enterprise Seating Chart
- Select 'Seating Chart Options'
- Click 'Delete Seating Chart'
Instructor Experience
Enterprise Seating Chart with No NFC Tags Associated
An instructor will be able to utilize the Enterprise Seating Chart once it has been created for a Room and the Room has been associated with their course.
Once an instructor has launched Qwickly Attendance from their course in the LMS, they can navigate to 'Seating Chart' in the lefthand navigation and select 'Create Seating Chart' to finalize the Enterprise Seating Chart created at the administrative level for their course.
An instructor will be able to title their Seating Chart and select a Room with an Enterprise Seating Chart from the drop-down menu. As a reminder, Rooms must be associated with a course at the administrative level.
Once an instructor has selected a Room from the drop-down menu and clicked 'Next' they will see the Enterprise Seating Chart that was created at the administrative level on screen.
Instructors can then place students in their assigned seats by clicking on a students name and then clicking on an empty chair in the Seating Chart.
Once an instructor has finished placing students in seats, they can click 'Save' to finalize the Seating Chart.
Once the Seating Chart has been created, the instructor will see the finalized Enterprise Seating Chart in their list of active Seating Charts and can utilize the Seating Chart when taking attendance in Seating Chart Mode.
Enterprise Seating Chart with NFC Tags Associated
If you have associated NFC Tags with the Enterprise Seating Chart, an instructor can utilize the Enterprise Seating Chart in conjunction with NFC Check-In Mode.
When an instructor navigates to the Check-In screen, they'll see the option to enable 'NFC Seating Chart.' Note: NFC Tag Confirmation must be enabled for an instructor to see this option.
The instructor will be prompted to select a Room that has been associated with the course at the administrative level in the drop-down on screen.
Once an instructor selects a Room and starts the Check-In session, they'll see the Enterprise Seating Chart associated with the selected Room on screen. Any chair that has an NFC Tag associated will appear blank in the seating chart. Chairs with no NFC Tag associated will show the chair icon.
Once a student scans the enabled NFC Tag using the Qwickly Attendance Mobile App, their information will appear in Seating Chart based on which chair the NFC Tag they scanned is associated with.
